Facility Warranty Management for Commercial Property Portfolios

A facility can have a roof warranty, equipment manufacturer coverage, installation workmanship terms and separate service agreements. A useful register preserves those differences while giving the property team a clear view of the next action.

Organize the handover around the building

Start with a property name and full address, then capture building, unit or area and asset names. Attach closeout documents, invoices, warranty certificates and inspection reports. Keep issuer and installer contacts alongside the source rather than relying on a shared folder filename.

See obligations before assigning work

The property report shows recorded coverage, exclusions, expiry dates, maintenance and inspection requirements. Missing dates and unscheduled maintenance are surfaced as information gaps. An absence of recorded exclusions is not evidence that everything is covered.

Keep a traceable follow-up history

Log observed issues, inspection work and external claim references. Track draft, submitted, acknowledged and resolved states without treating a draft as a submitted claim. Add the next follow-up date and keep evidence attached. Submission still follows the issuer’s original instructions.

Common questions

Can I manage several commercial properties?

Yes. Each property has a unique ID and its own address, linked warranties and summary. You can search the overall portfolio and filter the register by property.

Does the dashboard decide whether a repair is covered?

No. It displays the terms and dates you have reviewed. The original contract and issuer’s assessment determine coverage.

Can I see properties on a map?

Each recorded address has a Google Maps link. Check the returned location; the address is not independently verified by the vault.
